How the Workflow Connects: Orders, Invoices & Stock

Stock in WareStat moves in exactly two places: when an order is marked Completed, and when a purchase order is marked Completed. Everything else either reserves stock or doesn’t touch it at all.

On the sales side

  • New or In Progress — the ordered quantity is reserved. Physical stock stays the same; available stock (what’s left to sell) goes down.
  • Completed — WareStat decrements physical stock and logs a warehouse movement automatically.
  • Cancelled, or moving an order back off Completed — the reservation is released, or the stock is put back.

Generating an invoice from an order is a separate, administrative step — it creates the PDF and billing record, and doesn’t touch stock either way. Stock only reacts to the order’s status.

On the purchasing side

  • Draft, Confirmed, In Transit — no effect on stock.
  • Completed — the ordered quantity is added to physical stock.

If a product’s stock count isn’t changing the way you expect after saving an order or a purchase order, this is the first thing to check: nothing moves until the status says Completed.
