Barcode Usage Guide

Hardware Setup

  • Connect USB barcode scanner to computer
  • No software installation needed (works as keyboard input)
  • Test scanner: open any text editor, scan a barcode → numbers should appear

Product Configuration

  • Use the Code field to store barcode numbers
  • Supported formats: EAN-13, UPC, Code 128, QR codes
  • Alternative: use Alternative SKU field for secondary barcodes
  • Format: enter barcode digits exactly as printed (e.g., “8001234567890”)

Daily Operations

Searching Products:

  • Click in Products panel search field
  • Scan product barcode
  • Press Enter → product appears in results

Creating Orders/Invoices:

  • Open New Order or New Invoice dialog
  • Click “Add Product” button
  • In product selection dialog, click search field
  • Scan barcode → product auto-loads
  • Click OK to add to order/invoice

Warehouse Operations:

  • Stock movements: scan to identify products quickly
  • Set minimum stock: scan to select product
  • Inventory check: scan products while counting

Receiving Supplier Orders:

  • Open supplier order
  • Scan products as they arrive
  • Verify quantities match

Best Practices

  • Keep scanner within arm’s reach during data entry
  • Configure scanner for “Enter key suffix” (sends Enter after scan)
  • Use consistent barcode format across all products
  • Print barcode on product labels or shelf tags
  • Keep barcode database backup

Current Limitations (No Custom Code)

  • Cannot print barcode labels from software
  • No barcode generation for new products
  • Must manually enter barcode numbers in Code field
  • Use external label printer software if needed

Quick Tips

  • Test scanner speed: some can scan 100+ items/minute
  • Position scanner to read barcodes at 10-30cm distance
  • Clean scanner window weekly for reliable reads
  • Most scanners beep on successful scan
